The central principleThe conversation supports the work; it is not always the final storage location. Important HTML, DOCX, photographs, business records and source material should be saved in the appropriate project folder or content system.

Stages 1–3

Capture, clarify and organise before building

Capture the idea

Use your phone for quick text, Voice or a privacy-safe photograph. If you are already at the PC, start in the desktop app or web.

Clarify the result

State what must exist when the work is finished: a decision, lesson, webpage, report, spreadsheet, presentation, image or code change.

Name the conversation

Use project + purpose + date or version. This makes search and cross-device continuation much easier.

Use a Project for ongoing work

Projects keep related chats, reference files and project instructions together. OpenAI describes them as suitable for repeated, evolving efforts and switching between devices.

One Project, several focused chatsFor the ChatGPT Academy, keep separate chats for curriculum, landing pages, lesson production, downloads and quality review. This prevents one enormous conversation from becoming difficult to navigate.

Stage 4

Choose the smallest surface that fits the outcome

Do not assume every surface syncs identicallyOrdinary Chat conversations sync between web and desktop. Current OpenAI guidance says desktop Work threads and local files remain on that computer, while supported desktop Codex tasks may be accessed through mobile Remote without becoming ordinary mobile Chat history.

Stage 5

Give ChatGPT a task brief, not a vague wish

Outcome: What must be created, decided or explained?
Context: What existing project, audience or source material matters?
Constraints: What must stay unchanged? What format, style, length or deadline applies?
Evidence: Which files, official sources or current facts must be inspected?
Success criteria: How will you know the task is genuinely complete?
Handoff: Where should the final artifact be saved, and what should happen next?

Stage 6

Verification turns a draft into dependable work

Facts and datesVerify current claims with authoritative sources and show the review date.
Calculations and dataRecalculate important totals and inspect assumptions, units and missing values.
Links and navigationCheck every important route, previous/next button and external source.
AccessibilityCheck headings, labels, keyboard use, colour contrast, alternative text and responsive layout.
Code and filesParse the document, run appropriate tests and open the actual deliverable.
Human judgementConfirm the tone, ethics, privacy, relevance and whether the answer solves the real need.
High-stakes work requires qualified reviewDo not treat ChatGPT as a substitute for a doctor, lawyer, accountant, financial adviser, safety professional or other qualified expert. Verify important decisions through the appropriate person and source.

Stages 7–8

Save the result and leave a restart point

Before leaving a long chat, ask for a short checkpoint summary containing completed work, file paths, decisions, unresolved questions and the next step. Then save that summary with the project—not only in ChatGPT.

Workflow Problems

Correct the system when work becomes messy

One chat contains too many unrelated subjects

Ask for a checkpoint summary, then begin focused chats for each workstream. Move eligible conversations into the relevant Project.

ChatGPT keeps losing important requirements

Restate the outcome, constraints and success criteria in a concise task brief. Add stable project-wide rules to Project instructions rather than relying on an old message.

I cannot find the latest file

Choose one official output folder, use consistent filenames and include version or date information. Record the exact final path in the checkpoint summary.

The answer looks polished but may be wrong

Pause production and verify each material claim against current primary or official sources. Separate confirmed facts from assumptions and recommendations.

Phone and desktop work do not match

Confirm account, workspace and work surface. Ordinary Chat, cloud Work, desktop Work and local Codex tasks do not all use the same storage model.
