Shortcuts & Efficient Desktop Work

Use a small verified shortcut set, choose the right ChatGPT surface, maintain clear file boundaries and close every session with an output, checkpoint and next action.

Learning Objectives

1

Use verified shortcuts

Separate standard Windows/browser keys from ChatGPT build-specific commands.

2

Choose the right surface

Match Chat, Work, Codex and browser use to the desired output.

3

Control file hand-offs

Know where inputs and finished files live and what does not synchronise automatically.

4

Close reliably

Record outputs, evidence, decisions, blockers, ownership and the next action.

Three Shortcut Categories

⌨ Keyboard navigation

Tab, Shift+Tab, Enter, Space and Esc help operate controls without a mouse. Always confirm visible focus.

🌐 Browser and Windows

Standard commands such as new tab, close tab, find, address bar and window switching work independently of ChatGPT, subject to browser or operating-system settings.

💬 ChatGPT-specific

These depend on the app and build. Verify them in current settings or official guidance before teaching or relying on them.

Shortcut conflicts are normal

A Windows utility, accessibility tool or another application may already own a shortcut. Never disable an important accessibility or security shortcut merely to make a ChatGPT hotkey work; customise the ChatGPT command where supported.

Verified ChatGPT Shortcut Reference

ShortcutSurfacePurposeVerification note
Ctrl+Shift+BNew desktop appOpen the built-in browser from Work or Codex where available.Documented in the current built-in-browser guide.
Alt+SpaceChatGPT ClassicOpen the companion window while the app is running.May conflict with another application and can be customised in Classic settings.
Ctrl+KChatGPT ClassicOpen chat-history search.Documented in Windows app release notes; verify in the installed build.
Ctrl++ / Ctrl+ChatGPT ClassicAdjust text scale.Documented in Windows app release notes; new app and browser controls may differ.
Tab / Shift+TabWeb and desktopMove forward or backward through interactive controls.Standard keyboard navigation; visible focus must remain clear.
EscWeb and desktopClose or dismiss some menus and dialogs.Standard convention; confirm before relying on it during an unsaved action.

Use the interface when a shortcut is uncertain

A shortcut saves seconds; a visible button reveals the current feature and context. Prefer the toolbar, sidebar or settings control when the build or focus state is unclear.

Standard Browser and Windows Commands

CommandTypical actionUseful ChatGPT example
Ctrl+LFocus the browser address bar.Verify or type https://chatgpt.com.
Ctrl+TOpen a browser tab.Open an official source beside the conversation.
Ctrl+WClose the active tab or window.Close a finished source tab only after saving needed evidence.
Ctrl+Shift+TReopen a recently closed browser tab.Recover a source tab closed accidentally.
Ctrl+FFind text in the current page or supported view.Locate a phrase in a long help article or page preview.
Alt+TabSwitch between Windows applications.Move between ChatGPT, WordPress and Visual Studio Code.
Win+ / Win+Snap a window to a side.Place ChatGPT beside the target document or website.

Keyboard layouts, browser settings, accessibility tools and organisation policy can change these commands. Test with privacy-safe work before adopting them.

The ITIAN Ten-Step Desktop Workflow

State the outcome

Write the exact deliverable, audience, purpose and completion test before choosing a surface.

Choose Chat, Work or Codex

Use Chat for conversation, Work for research and finished materials, or Codex for software and repository work.

Confirm identity and authority

Verify account, workspace, local folder and permission to use every input.

Prepare the destination

Create or identify the authorised output folder, WordPress page, Library location or cloud file before work begins.

Name the task clearly

Include the project, deliverable and date or version so it can be retrieved later.

Provide minimum useful context

Add only the necessary files, constraints, source rules and success criteria.

Work in reviewable stages

Plan, create, inspect and refine. Do not approve a large irreversible action merely to save a few keystrokes.

Verify the result

Check facts, links, calculations, accessibility, file behaviour and the intended destination.

Save and hand off explicitly

Record the final filename, version, absolute or published location and who owns the next action.

Write the session close

Summarise outputs, evidence, decisions, unresolved risks, blockers and the next action before closing tabs or apps.

File Hand-Off Boundaries

SurfaceLikely locationRequired hand-off
Ordinary ChatConversation history can synchronise between web and desktop.Download or copy the finished artifact to the intended storage system; a conversational answer is not automatically a published file.
Cloud WorkEligible cloud conversation and Library or connected cloud app where supported.Confirm the saved cloud file, account, sharing and version.
Desktop WorkLocal project or folder on that computer.Record the local path and intentionally move or share the approved output if another surface needs it.
Codex desktopLocal repository, folder, terminal or worktree.Review changes and tests, then save, commit, publish or hand off through the project’s authorised process.
Built-in browserSeparate desktop-app browser state and downloads.Verify the active website account and final download or published destination.

“Finished in ChatGPT” is not a location

A hand-off is complete only when the approved output exists in the expected folder, Library, cloud document, repository or published URL and another person can find it without guessing.

Practical Activity: Complete a Focused Desktop Session

0 of 12 checks completed.

Successful result

The approved artifact is findable at its intended destination, the task has a clear checkpoint, and the next person or future you can continue without reopening every tab.

Quick Knowledge Check

Answer all five questions and review every explanation.

1. Which shortcut opens the desktop app’s built-in browser where supported?
2. What should you do when a documented ChatGPT shortcut conflicts with another application?
3. Which surface is dedicated to repository and software-development work?
4. When is a file hand-off complete?
5. What belongs in a reliable session-close note?
