Request Genuine Reviews

Ask real customers at an appropriate point after they have experienced the business.

Create the review link or QR code. Use the review-request option available in the Business Profile.
Choose the right time. Ask after delivery, collection, project completion or another point when the customer can give informed feedback.
Ask neutrally. Invite an honest review rather than asking specifically for five stars or only approaching customers expected to be positive.
Make it easy. Share the direct link through a receipt, follow-up email, message, card or QR code where appropriate.
Protect privacy. Do not expose customer information or add customers to marketing messages without proper permission.
Never offer incentives: Google prohibits free or discounted goods, services, payments or other incentives in exchange for reviews, changed reviews or removal of negative reviews.

Pause and investigate. Check the facts and speak with involved staff before responding.
Acknowledge the concern. Show that you understand the issue without arguing or making assumptions.
Apologise when appropriate. A sincere apology can recognise the customer’s experience without accepting responsibility for something outside the business’s control.
Explain briefly. Correct important misunderstandings calmly, but do not publish a long defence.
Move details offline. Invite the customer to contact the business through a trusted channel so private information can be discussed safely.
Improve the process. Record genuine lessons and follow through on any action promised publicly.

Report an Inappropriate Review

Google removes reviews for policy violations, not simply because a business disagrees with them.

Read the policy. Identify the specific reason the review may violate Google’s prohibited or restricted content rules.
Open Read reviews. Sign in to the managing account and find the review on the Business Profile.
Select Report. Choose the most accurate policy reason and submit the report once.
Track the result. Use Google’s Reviews Management Tool where available and follow the stated appeal process if eligible.
Respond carefully. If appropriate, publish a brief professional response while the report is reviewed without discussing the report itself.
