Learning Objectives
What you will learn
By the end of this lesson, you will be able to:
- Search chat titles and conversation content using distinctive keywords.
- Explain why an older chat may be absent from the short recent list but still saved.
- Choose correctly between keeping, archiving and deleting a conversation.
- Manage archived chats from ChatGPT settings.
- Follow a safe troubleshooting process when a conversation appears missing.
- Use a simple weekly routine to keep history useful and manageable.
Your Working Record
Use a four-part history system
Useful chat history saves time because you can return to decisions, drafts and instructions instead of rebuilding them.
Name
Start chats with specific wording so the generated title and content are easy to recognise later.
Search
Use an exact, memorable phrase from the title or conversation instead of scrolling endlessly.
Archive
Hide completed or occasional work from the sidebar while keeping it in your account.
Delete
Remove only chats you are certain you no longer need. Deleted chats cannot be recovered.
Find Past Work
Search before you start again
ChatGPT searches words in conversation titles and content. Current official guidance says exact matches work best.
- Open the left sidebar.
- Select the search magnifying glass, or use the keyboard shortcut on the web.
- Enter a distinctive phrase, person, project name or unusual keyword.
- Review the matching titles and conversation extracts.
- Open the result to read it or continue where you stopped.
- If there is no result, try another exact phrase you remember from the chat.
Recent is not the same as deleted
The sidebar keeps a compact list of recent conversations for speed. Older saved chats may disappear from that short list without being deleted; searching can fetch them again. Archived chats are also searchable, but deleted chats are not.
Make the Right Choice
Keep, archive or delete?
On the web, hover over a conversation and open its three-dot menu. On mobile, press and hold the conversation title. The exact menu can vary by device.
Keep visible
Best for active work you expect to reopen soon.
Archive
Best for valuable work that is finished or used occasionally.
Unarchive
Return an archived chat to active history from Settings → Data controls → Archived Chats.
Delete
Best only for unwanted or sensitive chats you are sure you will not need again.
| Choice | What happens | Can you find it again? |
|---|---|---|
| Keep | It remains saved in your account and may appear in recent history. | Yes — open it from history or search. |
| Archive | It is hidden from the active sidebar but remains saved under normal retention rules. | Yes — search it or manage Archived Chats in settings. |
| Delete | It disappears from your account view immediately and is scheduled for permanent deletion within 30 days, subject to stated legal, security or de-identification exceptions. | No — it cannot be restored through the interface, APIs or support. |
Be careful with “Delete all chats”
Bulk archive and delete controls in Settings → Data controls apply to conversations inside Projects too. Review important project work before using a bulk action.
Practical Activity
Complete a safe history clean-up
Use your own account and tick each step as you finish it. Progress is stored only in this browser.
Missing Chat Checklist
Check these before assuming it is gone
Work through these checks in order. A data export can confirm what remains stored, but it does not restore a deleted chat to your sidebar.
1. Correct account and workspace
Confirm the email, sign-in method and personal or managed workspace. History belongs to the account and workspace where it was created.
2. Search exact wording
Search a distinctive phrase from the title or content. Try two or three alternatives.
3. Check Archived Chats
Open Settings → Data controls → Archived Chats. An archived conversation is hidden, not deleted.
4. Recall the chat type
Temporary Chats do not appear in history. They are not designed as a place for work you need to return to later.
5. Reload and check service status
Refresh, sign out and back in, or restart the app. Check OpenAI Status for an incident.
6. Export or contact support
Request a data export in Settings → Data controls to check stored account data. Remember: a deliberately deleted chat cannot be recovered.
Ten-Minute Weekly Routine
