ChatGPT AcademyModule 4 → Project Memory
Module 4 · Lesson 4.5

Understand and Choose Project Memory

Compare project-only and default memory, check the required settings and choose a boundary that matches the Project’s purpose, sensitivity and collaboration needs.

Learning Objectives

By the end of this lesson, you will understand what each memory choice can reference and how to diagnose the most common setup problems.

1

Distinguish

Separate personal and Project memory.

2

Compare

Explain project-only and default boundaries.

3

Configure

Check account and workspace prerequisites.

4

Control

Test and maintain the chosen boundary.

Memory is context—not guaranteed perfect recall

Project memory helps ChatGPT draw on relevant chats and files, but it does not guarantee that every detail will be recalled correctly or used in every response. Keep important rules in Project instructions, retain approved facts in clearly labelled sources and verify critical outputs.

Project-Only Versus Default Memory

The safest choice depends on the boundary you need—not simply which option sounds more powerful.

QuestionProject-only memoryDefault memory
Can it use chats in the same Project?Yes, when Project memory requirements are metYes, when Project memory requirements are met
Can it reference previously saved personal memories?NoYes, when enabled and available
Can it reference conversations outside this Project?NoDepends on the plan and workspace
Can outside conversations reference chats in this Project?NoDepends on the plan and workspace
Can I select it for an existing default-memory Project? No; create a new Project and move eligible chatsExisting Projects remain on default unless sharing changes the boundary
What happens when a Project is shared? It remains project-onlySharing changes it to project-only and it cannot be reverted to default
Best fitClear separation, sensitive or tightly scoped ongoing workPersonal work that benefits from broader context and where the plan allows it

Three Different Layers

Project memory

Relevant context drawn from chats and files associated with the Project, within the selected boundary and settings.

  • Project-only or default
  • Context rather than a visible fact list
  • Controlled partly by chat placement

Personal saved memories

Account-level details ChatGPT may use when enabled. Project-only chats do not reference previously saved personal memories.

  • Managed in personal settings
  • Separate from chat deletion
  • Not the same as Project instructions

Approved Project sources

Files, pasted text, supported links and saved responses that provide an inspectable source of truth.

  • Versioned and reviewed
  • Used for authoritative facts
  • Maintained deliberately

Required Settings

If Project memory is unavailable or appears inactive, start here. Setting names can vary slightly by plan and app version.

Important: do not change settings blindly

Memory settings affect how context may be used. Before enabling broader memory for workplace, client, health, financial or otherwise sensitive work, review your organisation’s rules and decide whether the Project should instead use a stricter, separate boundary.

Choose and Verify in Six Steps

Define the boundary

Decide whether outside chats and personal context should ever influence this work.

Check sensitivity

Identify restricted, private, client or workplace-controlled information before creation.

Confirm prerequisites

Review personal Memory settings and any workspace controls that apply.

Create deliberately

Select project-only or default when creating the new Project. Record the decision and reason.

Test the boundary

Use fictional markers inside and outside the Project; never test with real secrets or private data.

Maintain the boundary

Remove or relocate chats that should not influence the Project, and review before sharing.

Interactive Project Memory Decision Guide

This training guide produces a recommendation to review—not an automatic change to your ChatGPT settings.

Your reviewed memory recommendation will appear here.

Test the Boundary Safely

Memory behaviour is contextual, so one response is not proof. Use several fictional tests and record what happened.

TestMethodExpected project-only result
Inside continuityIn Project Chat A, state “Practice marker: KŌWHAI-42”. In Project Chat B, ask for the fictional marker. It may use relevant Project context when memory requirements are met.
Outside isolationIn an ordinary chat outside the Project, ask for that Project marker without revealing it.It should not reference Project-only conversations.
Personal-memory isolationAsk inside the project-only Project about a harmless personal preference previously saved outside it.Previously saved personal memories should not be referenced.
Source priorityAsk a question whose answer is in an approved Project source. The response should use the relevant Project material; verify it against the original.
Excluded-chat checkMove or delete a fictional test chat, then repeat related tests later.Do not assume an immediate perfect result; document behaviour and keep sensitive facts out of tests.

Troubleshooting Project Memory

I cannot see a list of Project memories

This is expected. OpenAI currently says Project memory does not show a list like personal memory. To stop a conversation from influencing the Project, delete it or move it to a different Project.

ChatGPT did not recall something

  1. Check that the chat or file is inside the correct Project.
  2. Verify Memory prerequisites.
  3. Use a focused prompt naming the relevant source.
  4. Put durable rules in Project instructions.
  5. Store critical facts in approved sources, not memory alone.

I need a memory-free conversation

Temporary Chats do not use or create personal memories, but Temporary Chats cannot be added to Projects. Use a separate Temporary Chat and do not assume it becomes part of the Project record.

Deleting a chat is not the same as deleting personal saved memory

Personal saved memories are stored separately from chat history. Deleting a chat does not automatically delete a saved memory created from it. To fully remove personal information ChatGPT may remember, review personal memory controls and remove the relevant source chats or files as described in the current Memory FAQ. Project memory itself does not provide a separate visible memory list.

Quick Knowledge Check

Answer all five questions before continuing to Lesson 4.6.

1. What can project-only memory reference?
2. Does project-only memory use previously saved personal memories?
3. How do you convert an existing default-memory Project to project-only?
4. Can you view a separate list of Project memories?
5. Where should a critical approved fact be kept?
Answer all five questions, then select “Check Answers”.

Lesson Summary

Seven ideas to remember

  1. Project memory is contextual support, not guaranteed perfect recall.
  2. Project-only memory excludes previously saved personal memories and outside conversations.
  3. Default-memory boundaries vary by plan and workspace.
  4. Project-only memory must be selected when creating a new Project.
  5. Sharing changes a Project to project-only and that change cannot be reverted.
  6. There is no separate visible list of Project memories.
  7. Keep durable rules in instructions and approved facts in maintained sources.
