Troubleshooting Common ChatGPT Problems

Diagnostic Ladder

Work from safe checks to deeper changes

Record the symptomCopy the exact error, note the local date and time with Pacific/Auckland time zone, and take a privacy-safe screenshot.
Check OpenAI StatusVisit status.openai.com before changing your device when several features fail.
Confirm identity and surfaceCheck the email, sign-in method, workspace and whether you are using ordinary Chat, cloud Work, desktop Work or Codex.
Retry safelyWait briefly, stop and regenerate if appropriate, refresh the page or restart the app, then try a new chat.
Update and isolateInstall updates; test a private browser window, another device and another network. Temporarily disable VPNs, proxies or interfering extensions.
Repair local stateClear site data only for ChatGPT or reset the Windows app after saving important local work and recording what will be affected.
Collect evidence and escalateProvide Support with the error, timestamp, account method, app/browser version, device, conversation URL or ID and every completed test.
Preserve before resettingDesktop Work threads, local Codex files and unsaved deliverables can follow different storage rules from ordinary Chat history. Save valuable files and checkpoint information before resetting or uninstalling anything.

Missing Chats

Check visibility before assuming deletion

Web and App Problems

Use the correct repair for the symptom

“Something went wrong” or a failed response

Retry once, check Status, restart the app or refresh the page, then try a new chat. If it continues, test without VPN, proxy, secure DNS or content-blocking extensions.

Blank screen, endless loading or frozen interface

Force-reload or restart, sign out and back in, test a private browser window, disable extensions and try another network. Clear ChatGPT site data only if the earlier checks fail.

Network or WebSocket error

Disable VPN or proxy temporarily, switch from Wi-Fi to a mobile hotspot, and ask an organisation’s IT team whether security filtering blocks required OpenAI domains.

ChatGPT Windows app will not open

Restart Windows, update the app, then use Windows Settings → Apps → Installed apps → ChatGPT → Advanced options. Use Reset only after preserving local work and accepting that sign-in may be required again.

Download failed or file not found

Generated file links can expire. Ask ChatGPT to recreate the file, download it promptly, and retry without VPN or proxy. Save the result to your project folder.

Mobile and Voice

Check permissions, account and app version

Voice cannot hear me

Confirm microphone permission, unmute the Voice control, close another recording app, restart ChatGPT and test the phone microphone independently.

Camera, photographs or screen sharing are unavailable

Update the app and check phone permissions. Availability also depends on the Voice option, plan, region and rollout; use a typed description or privacy-safe screenshot when the feature is absent.

My subscription is associated with another account

Sign into the original ChatGPT account used when purchasing. A mobile subscription is linked to both the app-store identity and that ChatGPT account. Do not purchase again merely to test the problem.

Notifications or lock-screen previews expose too much

Change ChatGPT notification settings and the phone’s lock-screen preview options. Keep private response text hidden when the device may be seen by others.

Custom Theme Problems

Preserve the genuine exported structure

Custom theme import may be available in some desktop versions. The most reliable ITIAN method is to begin with a complete theme copied from the app, preserve every field and change only supported colour values.

  1. Select the correct light or dark base theme in Appearance.
  2. Use Copy theme and preserve an untouched backup.
  3. Edit only the required colour values; do not invent or remove fields.
  4. Copy the complete exported line, including its exact prefix.
  5. Paste directly into Import and confirm the button becomes available.
  6. If Notepad introduces uncertainty, test the untouched export copied directly back into Import.
If the Import button remains disabledCompare the edited theme with the genuine export. A missing prefix, partial copy, invalid colour value, changed JSON punctuation or removed metadata can make the theme fail validation.

Escalation

Prepare a useful Support report

Contact OpenAI Support through the chat control on help.openai.com when the problem persists across reasonable checks. Include:

  • A short description of the expected and actual behaviour.
  • The exact error message and a privacy-safe screenshot or recording.
  • Date and time of the incident, including the Pacific/Auckland time zone.
  • Account email, original sign-in method and workspace name—never the password or one-time code.
  • Device, operating system, browser or app version and model or mode used.
  • Conversation URL or ID where available.
  • Whether it occurs on another device, browser and network.
  • Every troubleshooting step already completed.
HAR files contain sensitive network recordsOnly capture a HAR file when Support requests or official instructions require it. Review and sanitise it before sharing. The desktop app does not provide browser developer tools for HAR capture, so reproduce a web-interface issue in a browser when appropriate.
