Why Team Access Matters

As your business grows, you may want to delegate Google Business Profile management tasks to staff members, marketing agencies or virtual assistants. Google Business Profile provides a role-based access system that allows you to give team members the access they need to do their job without giving them full control over the profile. Properly managed team access improves efficiency and reduces risk.

Access Roles

Primary Owner: Has full control over the profile including the ability to remove other owners and delete the profile. Only one Primary Owner can exist per profile. This should always be the business owner's personal Google account. Owner: Has all management capabilities except removing the Primary Owner or deleting the profile. Suitable for senior partners or directors. Manager: Can edit profile information, post content, respond to reviews and manage photos, but cannot add/remove users or delete the profile. Suitable for marketing managers or agencies. Site Manager: Can perform basic management tasks with limited capabilities. Suitable for store-level staff who need to update hours or respond to basic enquiries.

Adding Team Members

In your Google Business Profile Manager, navigate to the Users section and invite team members by their Gmail address. Select the appropriate role for each person. They will receive an email invitation and must accept it to gain access. New users can only be added by existing Owners.

Agency Access

When working with a marketing agency, grant them Manager-level access — never Owner-level. This gives them everything they need to manage your profile without the risk of them being able to remove your access or take ownership of the profile. Always retain Primary Owner status in an account controlled by the business owner personally, never an agency's account.

Step-by-Step Practice

Review current users on your Google Business Profile — who has access and at what level?
Remove any users who no longer work with your business — former employees, past agencies.
Identify team members who should have profile access and invite them with the appropriate role.

The biggest team access risk is not adding too many users — it is failing to remove them when they leave. A former employee or agency who still has Owner access to your profile is a serious security risk. Remove departing team members' access on their last day, not weeks later.
